A headshot booth at a conference might look the same from the outside, but the approach is very different. At an expo you might have five people queueing at one moment and a hundred the next. The rhythm of the booth shifts around the peaks and breaks in the event. This means our approach has to vary through the day to get the best return for the sponsor.

2. TIME
In office sessions our standard Hero Shot experience is based on ten minute scheduled blocks. This allows for a tailored outcome for each person, making fine adjustments to posture, clothing, and expression. We can match their energy, and direct a range of moods from approachable, authoritative, or warm, and then select the one that works best for their professional goals.
At a conference booth, you’ve usually got one or two minutes (if youre lucky). There’s no space for fully integrated HERO sessions, but that doesn’t mean quality is lost. It just calls for a different approach.
3.Environment
In workplace environments, we manage background, lighting, and noise. People step into a calm setting where they can focus and work 1-2-1 with an expert.
At an event, you’re in the middle of a busy hall with constant noise and movement. The booth has to create its own zone of calm. Rather than seeing the activity as a problem, we treat it as part of the event’s energy, and the booth becomes a pocket of calm within it.
4. Energy
In company sessions, the staff know it’s photo day. We can ease them in, coach them, and capture a confident look whilst addressing any personal concerns to achieve the best possible result.
At a conference, people arrive mid flow. They might have just left a session or grabbed a coffee. They’re not always in the mindset for a photo, but hey, it’s free!
Our role is to reset that energy in seconds. A well run booth helps people shift gears, find their confidence, and walk away with a photo they actually like with an energising experience to boot!
5. Delivery
Personalised galleries, and professional editing (retouch) before delivery are normal practice in company sessions.
People expect to wait because they know the result will be career level imagery they can rely on for years, so 3-5 days on delivery is often understood and expected.
At a conference, we want to keep the energy and momentum of the event, giving attendees instant access adds a massive wow-factor.
We also get to consider personal notes from the sponsor or organiser to really round off this touchpoint and make it memorable.
6. Queues
At the office, everything’s scheduled. People turn up at their allotted time and there’s little waiting.
At a conference, queues are natural and even positive. They show the booth’s in demand. The question is how you want to manage them.
A simple marked line is easy. A QR booking system lets people scan, book a slot, and come back later. Or you can treat the queue as an activation space where sponsors engage with attendees while they wait.
Queues are part of the experience and with the right approach they add to the booth rather than take away from it.
7. Footprint
- A minimum of 3m by 3m with at least 2.5m ceiling height.
- Ideally 4m by 4m with 3m clearance.
- Around a metre of space at the front or side for queueing.
- A 1.2m table for check-in or laptops, plus a smaller table for personal items.
- Power for laptops is helpful, Local Wi-Fi is preferred for delivery.
