    What drives the cost of a corporate photoshoot

    We quote per job, because the same headcount can mean two very different days. Here’s what actually moves the number, so you can brief us accurately and compare quotes fairly.

    The variables that matter

    • Headcount. Twelve staff and eighty staff are different logistical problems, not just different multiples.
    • Time on site. Half day, full day, or multiple days for shift-based teams.
    • Edited images per person. One retouched final each, or a choice of three or four.
    • Studio or on location. On-site work includes travel, setup and pack-down in your building.
    • Group and workplace coverage. Every extra deliverable needs its own time block.
    • Turnaround. Standard delivery, or a priority edit for a launch date.

    A worked example: a team of twelve, half a day in our Petersham studio, one edited image each, is a straightforward scope. Sixty staff across two floors in the CBD, plus a leadership portrait and a workplace set, is a full day with a second photographer.     Why hourly rates mislead

    People ask whether a given hourly rate is good value. On its own, an hourly figure tells you almost nothing. It doesn’t tell you how many people get photographed per hour, how the files are retouched, whether you’re licensed to use them commercially, or what happens if a light fails mid-session.

    Compare on a per-person deliverable instead. Ask how many staff will be photographed in the time booked, how many edited images each person receives, and what you’re licensed to do with them. That question separates a real quote from a cheap one very quickly.

    Studio in Petersham or on site in the CBD

    Both work. They suit different problems, and we run roughly as many of each.

    When on site wins

    If your team is spread across floors in Barangaroo or Martin Place and nobody can leave their desk for more than ten minutes, we come to you. We build a portable studio in a spare meeting room and run a rolling schedule of about eight to ten people an hour, so staff cycle through between calls.

    We ask for a room with depth rather than the biggest boardroom. Separation between subject and background is what keeps a portable setup from looking like a passport booth, and two and a half to three metres of depth is usually enough.

    When the studio wins

    Our Sydney photo studio gives us full control of light, ceiling height and background options, plus somewhere for people to fix hair and change shirts without standing in a corridor. It’s also easier for small teams, new starters and one-off senior hires.

    Across 10,000+ individuals and 1,000+ companies photographed, the process is the part clients actually pay for. Getting sixty busy people through a room on schedule is the skill.

    Before the day

    We agree the shot list, background, wardrobe guidance and running order in writing. You get a booking sheet with time slots so staff know exactly when to turn up.

    We also confirm what happens with the people who forget. There are always two or three, and we build a buffer for them rather than pretending otherwise.

    On the day

    One of us leads the session, coaches every person and reviews frames as we go. We tether to a screen so subjects see two or three frames early in their turn, because seeing one good frame is what actually settles a nervous accountant.

    Each person gets guided posing rather than being told to relax. Nobody relaxes when told to relax. We give small, specific instructions instead: chin, shoulders, weight, breath.

    After the day

    You review a private gallery and select finals. We retouch to a natural standard: skin texture kept, stray hairs and temporary blemishes tidied, colour and contrast matched across the team so the set reads as one shoot.

    We keep your specification on file. When you hire someone in six months, we match them to the existing set rather than starting again.

    What people notice in a corporate photo

    Clients and candidates aren’t analysing your lighting. They form a judgement in about a second. These are the things that move it.

    • Eyes. Sharp, engaged, catchlights present. Everything else is secondary.
    • Expression. A real, slight smile beats a wide grin and beats a blank stare.
    • Consistency. Same background, same crop, same colour across the whole team.
    • Wardrobe fit. A well-fitted plain shirt outperforms an expensive rumpled one.

    Booking without a deliverable in mind

    “We need some photos” produces photos nobody uses. Decide first whether this is a website refresh, a LinkedIn standard, a tender, or all three, and the shot list writes itself.

    Cramming everything into one hour

    Individual headshots move quickly, but a group portrait, workplace images and forty staff do not fit in a lunch break. Under-booking time is the most common cause of a disappointing set.

    Letting wardrobe run wild

    Send guidance a week ahead. Plain colours, fitted, no busy patterns, no logos unless you want them dated. With real estate and construction teams, a quick note about branded polos and hi-vis saves an awkward conversation on the day.

    Skipping the shift workers

    Healthcare and construction clients often have staff who are never on site at 10am on a Tuesday. Plan a second slot or a studio session for them, or your team page will have gaps for years.

    We’d rather say this than take a booking you don’t need. If you have three staff, headshots from last year that still look current, and no rebrand coming, skip it. Photograph the new starter and match them in.
